Your trust is the foundation of our practice. This policy explains exactly what information we hold about you, why we hold it, how long we keep it, and the rights you have over it.

2. What Information We Collect
We collect only what is necessary to provide a safe, effective homeopathic consultation. This includes:
- Identity & contact data — name, age, country, email, WhatsApp / phone.
- Health & medical data — symptoms, medical history, current medications, family history, lifestyle, mental and emotional state, weight, height and any reports you upload. This is treated as “special category data” under UK GDPR.
- Consultation records — case notes taken during or after your appointment and the remedy prescribed.
- Payment confirmation — we record that payment was received but do not store your card or bank details ourselves; payments are handled by regulated third-party gateways (Wise, PayPal, bank transfer).
- Technical data — if you submit our enquiry form, basic information such as the time of submission is logged by our form-relay provider (FormSubmit) before delivery to our email.
3. How We Use Your Information
We use your information solely to:
- Conduct your homeopathic consultation and case analysis;
- Select and prescribe an individualised remedy;
- Schedule appointments and send appointment-related communication;
- Provide follow-up care and adjust your treatment over time;
- Reply to your enquiries and confirm receipt of payment;
- Comply with our legal and professional record-keeping obligations.
We never sell your data. We do not use your health information for advertising, profiling, or marketing of any kind.
4. Lawful Basis for Processing
- Consent — you provide explicit consent when you submit the consultation form or share health information with us.
- Contract — processing is necessary to provide the consultation service you have requested and paid for.
- Legitimate interests — for clinic administration and security, where these do not override your fundamental rights.
- Special category data (health) — processed under Article 9(2)(h) UK GDPR “provision of health or social care”.
5. Online Consultations & Video Calls
Consultations are conducted via Zoom or Google Meet over end-to-end-encrypted connections. We do not record video or audio of consultations unless you specifically request a recording and provide written consent. Written case notes taken during the call are stored confidentially as described below.
6. Data Storage, Security & Retention
- Patient records are stored in encrypted, password-protected files accessible only to Dr. Jawad and clinic administration.
- Paper records, where they exist, are kept in locked storage.
- We retain clinical records for 8 years from the date of your last consultation in line with UK NHS clinical record-retention guidance. Records of children are retained until the patient’s 25th birthday.
- Enquiry-form data not followed by a consultation is deleted within 12 months.
- After the retention period your records are securely deleted or anonymised.
7. Sharing Your Information
Your medical information is strictly confidential. We will only share it where:
- You give us explicit consent (e.g. to liaise with your GP or another practitioner);
- We are legally required to do so (court order, safeguarding concern);
- It is necessary to protect your or another person’s vital interests in an emergency.
We use a small number of trusted service providers (Zoom / Google Meet for consultations; FormSubmit for enquiry-form relay; PayPal / Wise / bank for payment processing) who act as processors on our behalf. They are bound by their own data-protection terms and may transfer data outside the UK; in such cases the transfers are protected by appropriate safeguards (Standard Contractual Clauses or adequacy decisions).
8. Your Rights Under UK GDPR
You have the right to:
- Access a copy of the personal information we hold about you;
- Have inaccurate information corrected;
- Request erasure of your data (subject to our legal record-keeping obligations);
- Restrict or object to certain processing;
- Withdraw consent at any time, without affecting the lawfulness of earlier processing;
- Lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk.

Consultations for children under 18 must be requested and consented to by a parent or legal guardian. Their data is held under the same protections as adult patients, and is retained until the patient’s 25th birthday.
